Prepare an Office document for PDF export
PDF is useful when you want to share a document without requiring the recipient to edit it. Classic Converter uses LibreOffice on its conversion server to export Word documents, spreadsheets, and presentations.
Before you upload
Keep your original file. Check the page size, margins, and print layout in the application that created it. For spreadsheets, review the print area and scaling; a wide sheet can otherwise span many PDF pages. For presentations, review the slide dimensions and any content outside the slide boundary.
The hosted service currently accepts documents up to 5 MB. It processes one server job at a time to fit the available resources. The tool displays the current upload limit. Large embedded pictures are often the easiest part of an Office file to reduce before export.
- Open the document converter and select a supported file.
- The tool identifies its Word, Excel, or PowerPoint family. Choose PDF as the target format.
- Read the processing notice: this action uploads your document to the hosted conversion service.
- Choose Convert & download and keep the page open while it works.
- Open the downloaded PDF and compare page count, layout, and important values with the original.
Supported source families
Open the matching tool for Word to PDF, Excel to PDF or PowerPoint to PDF. Each page explains the settings to check for that type of file.
| Document | File extensions | Review after export |
|---|---|---|
| Word | DOC, DOCX, ODT, RTF | Fonts, page breaks, headers, and footers |
| Spreadsheet | XLS, XLSX, ODS, CSV | Print area, scaling, column widths, and totals |
| Presentation | PPT, PPTX, ODP | Slide dimensions, text wrapping, and images |
Understand the limits
LibreOffice and the original authoring application can render a file differently. A font that is unavailable on the server may be substituted, changing line breaks. Complex charts, embedded objects, and advanced formatting may not survive identically. A PDF export also does not preserve interactive slide animations.
For example, a spreadsheet designed for landscape A4 can spill onto extra pages if its print settings are incomplete. Set its intended print area in the original application before uploading again.
Privacy and availability
This operation sends the document to the server. Temporary conversion files are cleaned up automatically; the retention policy explains the timing and its limitations. Do not use this workflow for files your organization prohibits sending to a hosted service.
If the service is waking from inactivity, the first request can take longer. If it is busy or unavailable, retain your selected file and retry after a pause. Repeatedly clicking Convert does not make the conversion faster.
Can I turn a PDF back into Word here?
Use the PDF to Word guide for that direction. Exporting Office to PDF and extracting editable text from a PDF have different limitations.
Does a successful download mean the formatting is perfect?
No. Successful conversion means a file was generated. Open it and check the content, particularly before sending a contract, report, or financial document.
